What Effect Does Making Levels Unavailable In A Planning Version Have On The Actuals Data?

Question

What will happen to my Actuals data if I make levels unavailable in a Planning version?

Answer

Currently when a Level is made unavailable in a Planning version, that Level will also be unavailable in the Actuals overlay when viewing that planning version.

Here is an example of how the functionality currently works.

The screenshot below shows the Volume Sales Revenue value in Q1-2013 Actuals overlay period is “1,327,543” at the top Level when viewing the 2014 Budget Version.

After making the Canada Sales child Level unavailable in only the 2014 Budget version, the value of the Actual’s overlay period changes to “1,153,298”. This value excludes the value in the Canada Sales Level even though the Level is still available in Actuals for the purposes of preserving historical data.

When viewing the Actuals Version, the top Level rollup value will still include all Levels; however the value that displays in the Actuals overlay when viewing a planning version is used for calculating values in the planning version and is displayed in reports.

We will be adding an enhancement in Q2 of 2014 to allow Administrators to decide whether or not the values of Levels that are only unavailable in the planning version should be included in the Actuals overlay. This setting will be located in the Version Details of each planning version where the Actuals overlay version is selected and will give users more flexibility for creating "What If" Versions.
